Codeeo HR: HR software built around how American teams actually work.

Codeeo HR is HR software that brings employee files, hiring, time and attendance, PTO, payroll data, reviews and offboarding into one system. Your HR team works in a web app, employees use a mobile app on iOS or Android, and we configure the whole thing around your policies, your locations and the states you employ people in. We also build the custom features and connections that a packaged product would leave you working around, so the system fits your company instead of the reverse.

Built for
US companies with hourly and salaried staff, often across several states, that have outgrown spreadsheets or a patchwork of point tools.
Typical timeline
We agree the rollout order and target dates together in discovery, and put them in writing before any configuration begins.
What you own
Your employee records, your configuration and any custom features we build for you, exportable whenever you ask.

In short

For a US employer, the hard part is rarely storing records. It is handling an overtime rule in one state that differs from another, keeping onboarding paperwork complete for every new hire, and giving managers on the floor a way to approve time off before the shift starts. That is where we focus.

What Codeeo HR includes

The modules an HR team uses every week, connected to one employee file.

Plenty of HRIS software stores data well and then hands the hard work back to HR in spreadsheets. Codeeo HR is organized so that each module feeds the next: an accepted offer becomes an employee file, the file drives the schedule, the schedule drives hours and overtime, and those hours flow into payroll data. Location matters at every step. Each employee is tied to a work location, and that location determines which schedule, which PTO policy and which overtime settings apply. Because labor rules vary from state to state, we treat those settings as configuration that your team and your advisers confirm, not as defaults we guess at. The result is one HR management system your managers can actually keep current.

Explain your project
  • Employee files

Personal details, job title, pay rate, manager, work location, contracts and uploaded documents in a single file per person. HR can see at a glance what is on record and what is still missing, which makes audits and handovers between HR staff far less painful than digging through shared drives and email attachments.

Every employee file complete and easy to find.

  • Recruiting and onboarding

Open requisitions, applicant stages, offer letters and a joining checklist for each new hire. Onboarding tasks can include collecting the forms your company requires, such as Form I-9 and tax withholding paperwork, assigned to the right person with a due date so first day paperwork is not left until the last minute.

New hires arrive with their paperwork already handled.

  • Time, attendance and shifts

Shift schedules, clock records, working hours and overtime by location. Overtime settings are configured per state or site based on the rules your advisers confirm, so a California location and a Texas location can follow different settings in the same system without anyone recalculating hours by hand.

Hours and overtime tracked against each location's rules.

  • PTO and leave

Time off requests, balances and approvals, with leave types, accrual rates and company holiday calendars that you define. Where a state or city requires paid sick leave, we configure the policy you have adopted for that location rather than one blanket rule for everybody.

Balances that match the policy each employee was given.

  • Payroll

Salaries, hourly rates, allowances, deductions and pay stubs held in Codeeo HR. Tax withholding and filing are not built in; how payroll data reaches your payroll provider or accountant is reviewed and scoped as custom work, and confirmed with your payroll or tax adviser.

Clean, approved payroll data every pay period.

  • Performance reviews

Goals, review cycles, manager and peer feedback and development plans, so annual or quarterly reviews run on a schedule instead of depending on who remembers to send the form, and so feedback is written down where the next manager can find it.

Review cycles that actually finish on time.

  • Employee self service

Employees update addresses and emergency contacts, request PTO and download documents like pay stubs from the web or the mobile app. Requests that used to arrive as texts and hallway questions now come through one channel that HR can see and track.

Routine HR requests handled without a phone call.

  • Expenses and benefits

Reimbursement claims with receipt photos, approval by the right manager, plus insurance and benefits details stored per employee. Benefits enrollment with carriers is outside the product; if you need a connection to a broker or administrator, we scope it.

Expense claims approved and recorded in one place.

  • Offboarding

Resignations and terminations, clearance tasks, equipment returns and final pay workflows, so every departure follows the same checklist. Final pay timing differs by state, so HR confirms the rule for each location with its adviser before the workflow is switched on.

Departures handled the same careful way every time.

  • HR reporting

Headcount, turnover, attendance and payroll reports by location, department or the whole company, drawn from live data. Leadership sees which sites carry the most overtime and where turnover is rising before the quarterly meeting rather than after it.

Numbers leadership can rely on without manual pulls.

Who this is for

Four US employers that tend to get the most from Codeeo HR.

We hear the same story from many US companies: HR started in spreadsheets, a scheduling app and a payroll provider were added, and now nobody is sure which system holds the right number. These are the four situations where a single HR and payroll software setup, configured properly, makes the biggest difference to the people running HR. Each one begins with a different pain point, so each rollout begins in a different place.

01

Growing businesses leaving spreadsheets behind

At twenty employees a spreadsheet works. At eighty, with hourly and salaried staff and a second location, it breaks: PTO balances drift, onboarding forms go missing and payroll inputs are retyped every period. We move your records into Codeeo HR, set up your policies and give your HR lead one system instead of a folder of files that only one person understands. Your managers get approvals on their phones, and your owners get headcount and labor cost figures without asking HR to build them.

Switching earlier means less data to clean up later.

02

Multi-location employers with hourly shift workers

Restaurants, distribution centers, clinics and retail chains run on shifts, and shift schedules change daily. Supervisors build and adjust schedules per location, employees see their shifts and request time off in the mobile app, and overtime is tracked against the settings you configured for that state, so surprises show up before payday instead of on it.

03

Companies with a diverse, multilingual workforce

Many US employers hire across many backgrounds, with workers on different visa statuses, contract types and benefit plans. We set up document records with expiry dates, track work authorization paperwork through onboarding, and keep each person's benefits and job details in their own file so HR is not relying on a single person's memory when something changes.

04

HR teams juggling several disconnected tools

An applicant tracker, a scheduling app, a PTO spreadsheet, a payroll provider and reviews in shared documents. We map what each tool handles today, decide what Codeeo HR replaces and what it should connect to, and plan the switchover so records, balances and history carry across without gaps or duplicates. If a tool is doing its job well, we integrate it instead of ripping it out.

How a Codeeo HR rollout runs, start to finish.

  1. 01DiscoveryOver a series of video calls we document your locations, the states you hire in, your PTO and overtime policies, your current tools and the custom work you may need, then agree what launches first.
  2. 02Data migrationWe pull employee data, balances and history from spreadsheets or your old HRIS, clean duplicates, import in batches and have your HR team spot check records against the source.
  3. 03Configure PTO and pay rulesPTO policies, holidays, overtime settings by location, pay types, allowances and deductions are set up and then reviewed with HR and your payroll or tax adviser.
  4. 04Parallel payroll runFor at least one pay period, payroll data from Codeeo HR is compared line by line with your current process, and every difference is explained before you rely on it.
  5. 05Go liveManagers and employees are invited, the mobile app is rolled out, and HR admins are trained by video call, with recordings kept for future hires.
  6. 06Ongoing supportWe handle fixes, update settings when your policies or state rules change, and add locations, modules or integrations as your company grows.

Technology

What we build this with.

The HR web app is built with Next.js, which keeps screens quick for admins and managers working through long lists of employees. The employee mobile app is built with Flutter, so iPhone and Android users get the same features from a single codebase and updates ship to both at once. Custom features we add for you are built on the same stack.

Questions US companies ask before choosing Codeeo HR.

It depends on locations, data quality and how much custom work you need.

A single location company with clean spreadsheets moves faster than a multi-state employer with an older HRIS and years of history. The biggest factors are how many states and policies need configuring, how messy the source data is, and whether you need integrations with a payroll provider. We agree the plan and dates in discovery and write them down before configuration starts. If you add a location in a new state, we review that state's settings with you before the first employee is hired there.
